Privacy Policy

This Privacy Policy explains how Innov8 collects, uses, stores, discloses, and protects information when you use the Innov8 platform, website, applications, integrations, and related services.

1. About Innov8

Innov8 is a customer relationship management and agency operations platform designed for insurance professionals and related organizations. Innov8 provides tools that may include customer and lead management, policy and service workflows, communications, document management, calendar functionality, reporting, automation, integrations, and other agency productivity features.

In many cases, an insurance agency or other organization using Innov8 controls the information it enters into the platform. Innov8 processes that information to provide services to that organization.

2. Information We Collect

Depending on how Innov8 is used, we may collect or process the following categories of information:

  • Account and profile information: name, email address, telephone number, organization, job role, profile information, authentication information, and account settings.
  • Agency and business information: agency name, business contact information, team membership, workflows, assignments, settings, preferences, and operational data.
  • Customer, lead, and policy information: contact information, addresses, dates of birth, policy and coverage information, insurance-related identifiers, household information, claims or loss-history information, notes, service requests, and other information entered by authorized users.
  • Communications: emails, text messages, communication history, templates, notes, and information associated with communications sent or received through supported integrations.
  • Documents and files: documents uploaded to or collected through Innov8, including insurance documents and other files submitted by users or their customers.
  • Integration data: information received from third-party services that a user chooses to connect to Innov8.
  • Technical and usage information: device, browser, IP address, authentication events, logs, feature usage, security events, and similar information used to operate and protect the service.

3. How We Use Information

Innov8 may use information to:

  • Provide, maintain, and operate the Innov8 platform.
  • Authenticate users and maintain secure account access.
  • Display and manage customer, lead, policy, service, workflow, communication, calendar, and other agency information.
  • Perform actions requested or authorized by users.
  • Provide integrations with third-party services selected by users.
  • Deliver service communications, notifications, and support.
  • Detect, investigate, and prevent fraud, abuse, unauthorized access, and security incidents.
  • Maintain, troubleshoot, and improve the reliability and functionality of Innov8.
  • Comply with applicable legal obligations and enforce our agreements.

4. Google User Data and Google Calendar

When a user chooses to connect a Google account to Innov8, the user authorizes Innov8 to access only the Google information and permissions necessary to provide the requested Google Calendar functionality.

Depending on the permissions granted, Innov8 may access:

  • Basic Google account information such as name, email address, and profile information used to identify the connected account.
  • The user's Google Calendar list and related calendar metadata so the user can select which calendars Innov8 should display or use.
  • Google Calendar event information necessary to display, create, update, or delete events as directed by the user.

How Google data is used

Google user data is used only to provide and support user-facing functionality requested by the user, including connecting calendars, displaying calendar information, and creating or managing calendar events.

Storage of Google data

Innov8 stores authorization credentials, including OAuth tokens, using security controls designed to protect those credentials. Innov8 may also store calendar identifiers, configuration preferences, synchronization information, and related metadata necessary to maintain the user's calendar connection.

Calendar event information may be processed as necessary to display and manage the user's calendar. Innov8 does not use Google Calendar data to create an independent commercial database of Google user information.

Sharing and transfer of Google data

Innov8 does not sell Google user data. Google user data is not shared with advertisers, data brokers, or information resellers. Data may be processed by service providers acting on Innov8's behalf when necessary to operate, secure, or provide the requested functionality, or when disclosure is required by law or expressly directed by the user.

Artificial intelligence and machine learning

Google Workspace API data obtained through Innov8 is not used to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.

Google API Limited Use

Innov8's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Users remain in control of their Google authorization and may disconnect Google Calendar from Innov8 or revoke Innov8's access through their Google Account at any time.

5. How We Share Information

Innov8 does not sell personal information as a business model. We may disclose information only as reasonably necessary for the following purposes:

  • Service providers: vendors that provide hosting, infrastructure, security, communications, storage, analytics, support, or other services required to operate Innov8.
  • User-authorized integrations: third-party services that a user intentionally connects to Innov8, such as Google, Microsoft, communications providers, or other business systems.
  • Legal and security purposes: when reasonably necessary to comply with law, legal process, enforce agreements, protect rights or safety, investigate abuse, or respond to security incidents.
  • Business transactions: in connection with a merger, financing, acquisition, restructuring, or sale of all or part of the business, subject to applicable law and contractual obligations.

6. Insurance Agency Customer Data

When an insurance agency or other business customer uses Innov8 to manage information about its customers, prospects, employees, or other individuals, that organization is generally responsible for determining why and how that information is collected and used.

Innov8 processes such information on behalf of the organization to provide the services requested by its authorized users. Individuals with questions about information entered into Innov8 by an insurance agency should generally contact that agency directly.

7. Data Retention and Deletion

We retain information for as long as reasonably necessary to provide the services, maintain legitimate business and security records, comply with legal obligations, resolve disputes, and enforce agreements.

Retention periods may vary depending on the type of information, the customer's configuration, legal requirements, contractual obligations, and the purposes for which the information was collected.

When a user disconnects Google Calendar from Innov8, Innov8 removes the active stored Google OAuth credentials associated with that connection. Google authorization may also be revoked directly through the user's Google Account.

Residual copies of deleted information may remain for a limited period in backups, security logs, or disaster-recovery systems before being overwritten or deleted in accordance with our retention processes.

Requests regarding deletion of an Innov8 account or personal information may be sent to admin@innov8crm.app.

8. Security

Innov8 uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, misuse, or destruction.

These safeguards may include authentication controls, access restrictions, encrypted communications, encryption or protected storage of sensitive credentials, monitoring, and security logging.

No electronic system or method of transmission can be guaranteed to be completely secure, and Innov8 cannot guarantee absolute security.

9. Cookies and Similar Technologies

Innov8 may use cookies, browser storage, and similar technologies that are necessary for authentication, security, session management, user preferences, functionality, and service performance.

10. Your Choices and Privacy Rights

Depending on your location and applicable law, you may have rights relating to access, correction, deletion, or other handling of personal information.

Innov8 account holders may manage certain information directly through the platform. Other requests may be submitted to admin@innov8crm.app.

If your information was provided to Innov8 by an insurance agency or other Innov8 customer, we may direct your request to that organization because it controls the underlying business record.

11. Children's Privacy

Innov8 is a business platform and is not intended for use by children as independent account holders. We do not knowingly offer Innov8 accounts directly to children under 18.

12. Third-Party Services

Innov8 may allow users to connect third-party services. Those services operate under their own privacy policies and terms. Innov8 is not responsible for the privacy practices of a third-party service outside Innov8's control.

13. Changes to This Privacy Policy

We may update this Privacy Policy as Innov8 evolves or as legal, regulatory, security, or operational requirements change.

When we make material changes, we will update the effective date above and may provide additional notice when appropriate.
